My client is a very reputable Evansville company and they are in need of a Office Administrator/Bookkeeper. Key duties include:
- Type proposals.
- Answer phones & direct to appropriate person.
- Keep maintenance logs for vehicles and equipment.
- Update/maintain certificate of insurance for subs/vendors.
- Maintain organization of company issued certificates of insurance.
- Make certificate of insurance requests to insurance provider.
- File completed / closed job files.
- Maintain PO book / bid book / vendor contact information book.
- Print administrative forms – new hire packets / PO forms / fax cover letters / transmittals.
- Receive / open and distribute mail.
- Maintain emergency vendor contact lists.
- Maintain cell phone accounts, order new / replacement phones and accessories.
- Knowledge of current jobs and their scope of work.
- Bid forms for plan / spec jobs.
- Assist with bid process.
- Bid proposal forms.
- Financial Statement documents.
- Certificates of insurance.
- Bonds & Form 96.
- Perform bid / performance / payment bonds requests.
- Maintain records for vendors and subs.
- Plan / Spec submittals assistance / organization / transmittals and logs.
- Assist with annual general liability and workers compensation audits.
- Assist with yearend closing bid/job file transfer / archive.
- Assist with yearend employee file archive.
- Assist with Accounts Receivables/Payables and Payroll.
- Clean offices – sweep / mop / vacuum / dust / restrooms / windows / counters.
