My client is a very reputable Evansville company and they are in need of a Office Administrator/Bookkeeper. Key duties include:

  • Type proposals.
  • Answer phones & direct to appropriate person.
  • Keep maintenance logs for vehicles and equipment.
  • Update/maintain certificate of insurance for subs/vendors.
  • Maintain organization of company issued certificates of insurance.
  • Make certificate of insurance requests to insurance provider.
  • File completed / closed job files.
  • Maintain PO book / bid book / vendor contact information book.
  • Print administrative forms – new hire packets / PO forms / fax cover letters / transmittals.
  • Receive / open and distribute mail.
  • Maintain emergency vendor contact lists.
  • Maintain cell phone accounts, order new / replacement phones and accessories.
  • Knowledge of current jobs and their scope of work.
  • Bid forms for plan / spec jobs.
  • Assist with bid process.
  • Bid proposal forms.
  • Financial Statement documents.
  • Certificates of insurance.
  • Bonds & Form 96.
  • Perform bid / performance / payment bonds requests.
  • Maintain records for vendors and subs.
  • Plan / Spec submittals assistance / organization / transmittals and logs.
  • Assist with annual general liability and workers compensation audits.
  • Assist with yearend closing bid/job file transfer / archive.
  • Assist with yearend employee file archive.
  • Assist with Accounts Receivables/Payables and Payroll.
  • Clean offices – sweep / mop / vacuum / dust / restrooms / windows / counters.
